However, with the growing popularity of their show and increasing demand for new episodes, managing the behind-the-scenes operations became a challenge. They needed support to keep track of the guest schedule, monitor topics discussed and future topics, and ensure seamless communication between podcast hosts. Additionally, they required a systematic approach for show tracking, including feedback, improvements, and highlights. The primary focus was to allow them to concentrate on their creative expression while ensuring the podcast operations ran smoothly.

Electric Parasol conducted a thorough audit to understand the client's needs, preferences, timelines, and platforms. We designed a customized spreadsheet that incorporated all client requirements into a workflow that made sense for their industry and use case. The spreadsheet was fully branded and included sections for guest info, dates, topics, ratings, questions, resource materials, and relevant links.

To enhance communication, we created a shared folder for hosts to communicate and share documents as needed. This approach ensured the client had a comprehensive system that supported their podcast operations seamlessly while respecting their need for an approachable system within their budget and breathing room for creative pivots.

 

Result:

The results of our collaboration were significant. We achieved overall organization and efficiency in podcast management, which enhanced communication between hosts and guests. This enabled more effective planning and data analysis, streamlining the onboarding and booking process and improving the guest experience. As a result, the overall professionalism of the podcast was elevated, leading to a more polished and well-managed production.
